I Asked ChatGPT To Plan My Week. It did it In 30 Seconds.

Updated: Apr 2

Patricia had a problem. Her daughter's 40th birthday party on Saturday, book club Thursday evening, doctor's appointment Tuesday morning, Tony's pension meeting Wednesday, plus the usual shopping, cleaning, and trying to remember where she put her glasses.

"I need to write this all down properly," she thought, staring at a blank notebook. "Otherwise I'll forget something important."

An hour later, she was still trying to organise it into a sensible weekly plan.

Then she remembered Tech Tuesday mentioning ChatGPT.

She opened it on her phone. Typed: "I have a busy week. Help me organise: daughter's party Saturday, book club Thursday 7pm, doctor Tuesday 9am, pension meeting Wednesday 2pm. I also need to shop and clean before the party."

Thirty seconds later, ChatGPT had created a complete weekly plan. Day by day, time blocked, shopping list included. Even reminded her to confirm the party venue.

"That would have taken me all morning," Patricia said. "It did it in half a minute."

So let's talk about ChatGPT. What it actually is, and how to use it. And why Poundbury residents are finding it surprisingly helpful.

WHAT IS CHATGPT?

ChatGPT is an AI tool that can understand what you write and respond like a knowledgeable assistant.

Not a search engine (it doesn't show you websites).

Not a robot (it's software, not a physical thing).

Think of it as: a very well-read assistant who can write, explain, organise, and help you think through problems.

It's made by a company called OpenAI. It launched in late 2022 and now has over 200 million people using it worldwide. (Including an increasing number of Poundbury residents!)

HOW TO GET IT (IT'S FREE)

You don't need to install anything. It works in your web browser or phone.

OPTION 1: USE IT ON YOUR COMPUTER

1. Open your web browser (Chrome, Safari, Firefox, whatever you use)

2. Go to: chat.openai.com

3. Click "Sign up"

4. Enter your email address and create a password

5. Confirm your email

6. Done

The free version is called "ChatGPT 3.5" and it's perfectly good for everything most people need.

OPTION 2: USE IT ON YOUR PHONE

iPhone:

1. Open App Store

2. Search "ChatGPT"

3. Download the official app (made by OpenAI)

4. Sign up with your email

5. Done

Android:

1. Open Google Play Store

2. Search "ChatGPT"

3. Download the official app

4. Sign up with your email

5. Done

The app works exactly like the website. Use whichever you prefer.

YOUR FIRST CONVERSATION

Once you're in, you'll see a blank text box at the bottom that says "Message ChatGPT."

Just type what you want help with. Like talking to a helpful friend.

EXAMPLE 1: UNDERSTANDING A CONFUSING LETTER

You receive an email from Dorset Council about business rates. It's full of jargon.

You type: "I received this email about business rates. Can you explain it in simple English?" Then copy and paste the email text.

ChatGPT reads it and explains: "This email is saying your business rates will increase by 3.2% from April 1st. You have three payment options: annual, half-yearly, or monthly. If you want to change your payment plan, call the number at the bottom by March 31st."

Clear. Simple. No jargon.

EXAMPLE 2: WRITING A PROFESSIONAL EMAIL

You need to email your landlord about a repair issue but you're not sure how to phrase it professionally.

You type: "Help me write a polite but firm email to my landlord. The boiler has been broken for a week and they haven't responded to my calls."

ChatGPT writes: "Dear [Landlord name], I am writing to follow up on the boiler issue I reported by phone on [date]. Unfortunately, I have not yet received a response and the boiler remains non-functional. As this affects heating and hot water, I would appreciate your urgent attention to arrange a repair. Please confirm receipt of this email and advise when a repair can be scheduled. Thank you, [Your name]"

Professional. Polite. Firm. Done in 10 seconds.

EXAMPLE 3: PLANNING AND ORGANISING

You type: "I'm hosting 12 people for Sunday lunch. Suggest a simple menu, shopping list, and timeline for cooking everything."

ChatGPT provides: Menu suggestions. Complete shopping list organized by supermarket section. Cooking timeline ("10am: put roast in oven, 11am: prep vegetables, 11:30am: make gravy...").

Everything you'd spend an hour Googling and writing down, delivered in one response.

WHAT POUNDBURY RESIDENTS ARE USING IT FOR

Real examples from people who've emailed Tech Tuesday:

UNDERSTANDING OFFICIAL DOCUMENTS

Planning permission letters. Council tax notices. Lease variations. Insurance policies. Anything with legal language.

Type: "Explain this in simple English" + paste the text.

WRITING DIFFICULT EMAILS

Complaints, thank you notes, professional requests. Anything where you want to sound right.

Type: "Help me write an email to [person] about [situation]. Tone should be [polite/firm/friendly]."

PLANNING EVENTS

Birthdays, dinner parties, garden parties, day trips.

Type: "I'm planning [event] for [number] people. Suggest timeline, shopping list, and things I might forget."

RESEARCHING BEFORE DECISIONS

Comparing products. Understanding options. Learning about topics.

Type: "Explain the difference between [option A] and [option B] in simple terms."

LEARNING NEW THINGS

How things work. What words mean. Background on topics.

Type: "Explain [topic] like I'm learning it for the first time."

IMPORTANT LIMITATIONS (READ THIS BIT)

ChatGPT is helpful but not perfect. Here's what to watch for:

IT CAN BE WRONG

ChatGPT sometimes makes confident-sounding mistakes. Don't trust it blindly for medical advice, legal decisions, or financial planning.

Use it to understand and draft, but verify important information with real experts.

IT DOESN'T KNOW CURRENT EVENTS

ChatGPT's knowledge stops at early 2024. It doesn't know what happened this morning or last week.

Don't ask: "What's the weather today?" or "Who won yesterday's match?"

IT CAN'T ACCESS YOUR PERSONAL INFORMATION

It doesn't know your email, your appointments, your photos, or anything about you unless you tell it.

This is good for privacy. But it means you need to provide context.

IT'S NOT A SEARCH ENGINE

If you need to find a specific website or phone number, use Google.

ChatGPT is for understanding, writing, explaining, and organizing. Not for finding.

HOW TO GET BETTER RESULTS

BE SPECIFIC

Vague: "Help me with my garden."

Better: "Suggest 5 low-maintenance plants for a shady corner in Dorset that flower in summer."

GIVE CONTEXT

Vague: "Write an email."

Better: "Write a polite email to my neighbor asking them to trim their hedge as it's blocking my light. We have a good relationship and I don't want to sound demanding."

ASK FOLLOW-UP QUESTIONS

If the first answer isn't quite right, keep going:

"Can you make that shorter?"

"Can you make it sound friendlier?"

"Can you add a section about costs?"

ChatGPT remembers the conversation, so you can refine as you go.

SAY WHAT YOU DON'T WANT

"Write a report on community gardens but don't use jargon."

"Explain this but assume I know nothing about computers."

"Suggest recipes but I'm vegetarian and don't like mushrooms."

Constraints help it give you exactly what you need.

PRIVACY AND SAFETY

Your conversations with ChatGPT are private to you. But:

DON'T PUT IN SENSITIVE INFORMATION

Don't paste: Bank details. Passwords. National Insurance numbers. Medical records. Anything you wouldn't want stored on a server.

ChatGPT stores conversations to improve its service. Treat it like email: assume it could theoretically be seen by someone else.

USE PLACEHOLDERS FOR PERSONAL DETAILS

If you're drafting a letter, use [MY NAME] instead of your actual name.

Example: "Write a letter from [MY NAME] to Dorset Council about [ISSUE]."

Then fill in your real details after copying the result.

YOU CAN DELETE YOUR HISTORY

ChatGPT has a setting to delete all your past conversations. If you're worried about privacy, use this after each session.

THE POUNDBURY USE CASE

Why are Poundbury residents finding ChatGPT particularly useful?

DEALING WITH THE DUCHY

Stipulation queries. Planning permission. Property questions. All involve formal correspondence where you want to sound professional.

ChatGPT helps you write clearly and confidently.

UNDERSTANDING OFFICIAL LETTERS

Council. HMRC. Utilities. Banks. Everyone sends dense, jargon-filled letters.

ChatGPT translates them into plain English in seconds.

PLANNING COMMUNITY EVENTS

Whether it's organizing a street party or a photography competition, ChatGPT can help structure timelines, create checklists, and draft communications.

LEARNING ABOUT POUNDBURY

"Explain the history and design principles of Poundbury."

"What makes Poundbury different from other new developments?"

ChatGPT can provide background that helps you understand your own community better.

TRY IT THIS WEEK

Here's your homework:

  • Sign up for ChatGPT (free, takes 2 minutes).

  • Ask it one real question you actually need help with.

  • See what it says.

That's it.

You don't need to become an expert. You don't need to use it every day.

Just try it once. See if it's helpful.

Patricia now uses it every Sunday evening to plan her week. It takes 5 minutes. Saves her hours of organising and remembering.

"I thought AI was complicated," she said. "Turns out it's just useful."
